Office Manager and Marketing Coordinator Needed
Full-Time Marketing Coordinator/Office Manager, Job Description
This is a full-time (40 hours per week), non-exempt position - Monday through Friday, 8 hours per day, 8 am to 5 pm with hour lunch.
The Managing Broker of the office at 108 N 3rd Ave, Sandpoint, ID, and the Directors of Marketing and Operations in our Kalispell Headquarters office are the immediate supervisors. This position is responsible for the daily opening and closing of our office, answering the phones and assisting our Agents in our Sandpoint office on our operations and marketing services and technology.
Job Requirements: Great communication skills, working knowledge of Adobe In-Design and Acrobat along with basic Microsoft Office programs, working knowledge of social media channels, customer service experience, willingness to work independently, proven integrity and trustworthiness, be able to complete requested tasks and projects in a timely fashion in order meet deadlines, be receptive to new ideas, and candid in the sharing of information, and be professional at all times.

• While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach, stoop kneel to reach items on or near the floor
• Specific vision abilities required by this job include close vision requirements due to computer work
• Light to moderate lifting is required occasionally, 10-25 pounds
Job duties are as follows:
Agent Services
- Maintain positive Agent Relationships. Foster an atmosphere of a fun, exciting, and professional workplace. Consistently provide top-level service to all agents.
- Train all Agents to use the PWRE marketing platform including digital and print services.
- Obtain New Agent Documents and Forms/Obtain Exiting Agent Documents and Forms. Ensure outstanding onboarding experience for new agents
- Maintain Agents' Sale Folders and Audit Folders and Transaction Desk for Proper Documents
- Approve payment after Transaction File complete
- Proactively engage Current Agents with scheduled sessions to enable Agents to follow through in using the company marketing platform.
- Onboard New Agents regarding marketing services and continue with follow-up.
- Communication skills at all levels are a must – written and verbal.
- Exhibit stellar phone skills for inbound and outbound calls
- Greeting and Directing Prospective Clients
- Ordering Office Supplies as Needed
- Assist in vendor relationships
- Track Agent Postage, Supply use, Lockbox rental and Printing for End of The Month Totals
- Organize and schedule office meetings and take minutes at those meetings
- Manage expenses for the Office
- Liaison between Agents and HR/Personnel management
- Consult with Managing Broker to help with property management issues
- Watering Plants as Needed and Keeping the Office Tidy
- Consult with Managing Broker to help focus the promotion of the office.
- Plan for various office functions- Downtown Association, Chamber, etc.
- Rally agents to ensure participation.
- Decorate and plan for various holiday & birthday events
- Experience with all social media channels.
- Design and Upload Property Ads for Agents for company co-op publications
- Order, Design, Track Signs for Agents - Interact with Sign Companies and Installation companies
- Gather Content and Edit company magazine, Pure MT, with Marketing Director
- Exceptional attention to detail in spelling, grammar, and punctuation
- Creative writing experience is a huge bonus
- Experience in print, online, digital, and event marketing
- Help organize effective agent recruiting campaigns
- Experience with social media platforms for business settings
- Experience with MS Office Suite, familiarity with Windows and Mac operating systems.
- Experience with Adobe Suite (InDesign, Illustrator, Photoshop, Acrobat).
- Ability to learn additional technical systems and platforms specific to real estate and teach others how to use platforms. (Christie’s Suite and Adwerx)
- Maintain copiers, printers, computers, phone system, and wi-fi network.
- Be familiar with both Windows and Apple operating systems.
